Event Volunteer Registration

Our Education Ambassadors have always played a very important role in the success of the Education Foundation of Martin County’s An Evening of Excellence | Bids for Kids event. 

We are looking for enthusiastic teachers to volunteer at the event and to act as ambassadors to promote community support of education!

Event Volunteer Schedule – 4:30 PM to 11:30 PM  

Please arrive by 4:30 PM so we can get everyone organized, trained, and in the party mood!

Volunteers will be provided a hot dinner entrée and a beverages during the event.  This is not the same meal as event guests.

Dress is cocktail attire and we may even have some costume options available.  More to come!

4:30 PM - Volunteers Arrive

4:30 PM to 5:45 PM - Volunteer Orientation

  • Familiarize yourself with event layout
  • Volunteer assignments and orientation
  • Last minute to-dos
5:30 PM - Take Your Stations


  • Registration / Check-In
  • Photography
  • Ice Luge
  • Wheelbarrow
  • Greeters:  Assistance with Check-In
  • Live Auction Spotters
  • Auction Stations - Purses and Jewelry and More!
  • Check-Out:  Processing and Runners
  • Event Breakdown and Clean Up
6:00-8:00 PM - Silent Auction/Cocktail Reception
Teacher ambassadors “mingle” with guests, thank them for their support, and share details and appreciation for grant awards, EFMC" For the Love of Reading" Book Vending Machines, purchases made with Adopt-a-Class or Fund-a-Project funds, and other resources and programs provided by the Foundation.

8:15 PM (ish) - Silent Auction Closes

  • Volunteers prepare items for check out
  • Place the invoices in alpha order for easy access upon guest arrival at checkout
  • Man check-out station and assist bidders by retrieving their merchandise from the auction area
  • Runners retrieve merchandise for bidders from the auction floor.  We'll need volunteers here until all guests have picked up their items.
8:30 to 9:30 PM (ish) - Live Auction
  • Volunteers will act as Live Auction spotters to record bidder numbers and winning bid price
9:45 PM (ish) - Auction Check-Out Begins
  • Volunteers prepare auction items for check-out 
  • Man check-out station, prepare merchandise for check-out and assist bidders in collecting their merchandise
  • Runners retrieve merchandise for bidders from the auction floor.  We'll need volunteers here until all guests have picked up their items.
11:00 PM - Until Completed - Assist with Clean-Up

Selection of preferred station does not guarantee station placement. Please list limitations and restrictions, if any. We want make sure to consider your restrictions and limitations when assigning stations.
